Connecting Cotonity to HubSpot
The HubSpot integration is set up once at the account level under Settings > Integrations > HubSpot. Authorize the connection using your HubSpot credentials, and Cotonity will request the necessary scopes to read and write contact records. Once connected, every existing and future event can sync its registration data to HubSpot. You can also test the connection by submitting a test registration and verifying that the contact appears in your HubSpot account within seconds. The connection uses HubSpot's official OAuth flow and does not require an API key.
Contact Creation and Deduplication
When an attendee registers for an event, Cotonity checks HubSpot for an existing contact with the same email address. If one is found, Cotonity updates the record rather than creating a duplicate. If no matching contact exists, a new one is created with all the registration data. This deduplication logic runs on every registration, ensuring your HubSpot database stays clean. You can configure which form fields sync to which HubSpot contact properties under the event's "Field Mapping" settings — the same configuration screen available when customizing form fields.
Event Engagement Timeline
Cotonity writes a timeline activity to each contact's HubSpot record for every significant event interaction: registration, reminder opens, check-in, feedback submission, and cancellation. These activities appear in the "Activity" tab of the contact record, giving your sales and marketing teams a full picture of the contact's engagement with your events over time. If a contact attends three webinars and opens every reminder email, that engagement history is visible alongside their deal history and email activity in HubSpot, giving reps valuable context for outreach.
Using Event Data in HubSpot Workflows
Once event data is in HubSpot, you can use it to trigger workflows and update lifecycle stages. For example, create a workflow that moves contacts who attend two or more events in a quarter to the "Marketing Qualified Lead" stage, or that notifies a sales rep when a contact in an open deal stage attends a product demo webinar. Cotonity's HubSpot integration also populates custom contact properties like "Last Event Attended" and "Total Events Attended," which you can use as enrollment criteria in lists, workflows, and sequences.
