Syncing Event Data to Your CRM

Configure what Cotonity syncs to HubSpot automatically, set up custom property mappings, sync events as HubSpot custom objects, and troubleshoot sync errors.

What Gets Synced Automatically

Once HubSpot integration is enabled, Cotonity syncs the following data to your CRM automatically: new contact records for first-time registrants, updated contact properties for returning registrants, event timeline activities for all registration and attendance actions, and deal associations when an attendee's email matches an open deal. This baseline sync requires no additional configuration and starts working the moment the integration is activated. Review the sync log under Settings > Integrations > HubSpot to see every sync operation and identify any errors.

Custom Contact Property Mapping

Beyond the default sync, Cotonity can populate any HubSpot custom contact property with event-derived data. Common use cases include "Last Event Attended," "Last Event Date," "Total Events Attended," "Last Event Feedback Score," and "Event Interests" (derived from session selections). Set up these mappings in the "CRM Property Mapping" panel under account Settings. Once configured, these properties are updated every time an attendee's event record changes, keeping your CRM data fresh without manual data entry or periodic CSV imports.

Syncing Event Records as HubSpot Objects

For organizations with HubSpot Sales Hub Enterprise or Marketing Hub Enterprise, Cotonity supports syncing events themselves as custom objects in HubSpot — not just the contacts who attend them. Each Cotonity event becomes a custom object record in HubSpot with properties like event name, date, format, capacity, and registration count. Attendee contacts are associated with the event object, creating a fully relational data model. This enables advanced reporting in HubSpot, such as "Show me all contacts associated with events in the last quarter that had more than 50 attendees."

Troubleshooting Sync Errors

Sync errors most commonly occur due to HubSpot property validation failures — for example, a Cotonity form field submits a value that doesn't match the allowed values for a HubSpot dropdown property. When a sync error occurs, Cotonity logs the exact error and the affected contact in the integration error log under Settings > Integrations > HubSpot > Errors. Each error shows the attempted property, the submitted value, and the HubSpot API error message. Most errors can be resolved by either adjusting your Cotonity form field options to match HubSpot's allowed values or updating the HubSpot property definition.
