Keeping meeting notes in HubSpot as timeline activities ensures that every team member has full context about a prospect's or customer's history without having to search through email threads or external note-taking apps. Cotonity can generate structured meeting notes from conversation transcripts, AI-assisted summaries, or structured forms filled out by your team, and log them directly to the relevant HubSpot contact, company, or deal record using the HubSpot Notes API.

Configuring the Create Note action

Add a HubSpot: Create Note action to your post-meeting workflow. The Note Body field supports plain text and basic HTML formatting (bold, italics, line breaks). Use Cotonity's template syntax to build a structured note: include the meeting date, attendees, summary paragraph, and bulleted action items extracted by the AI from the conversation transcript. Associate the note with the correct records by supplying the Contact ID, Company ID, or Deal ID — you can associate a single note with multiple objects simultaneously.

Extracting action items automatically

Cotonity's meeting intelligence features can parse conversation transcripts or structured notes to extract action items — tasks with an owner and due date. When this feature is enabled, the post-meeting workflow creates both a HubSpot Note (for context) and one HubSpot Task per action item (for execution), linking both to the same contact and deal. The AI extracts phrases like "I will send the proposal by Friday" and converts them into tasks automatically, reducing manual follow-up for your sales reps.

Notes vs. engagements

HubSpot treats Notes as a type of Engagement alongside Calls, Emails, and Meetings. Cotonity can create all four engagement types, not just Notes. If you integrate with a telephony platform like Aircall or Dialpad through Cotonity, call recordings and dispositions can be logged as HubSpot Call engagements. Similarly, if your agents conduct video meetings, the session transcript and recording link can be logged as a HubSpot Meeting engagement, which is visually distinct from a Note in the contact timeline.
