Syncing HubSpot company records

Extend your CRM automation to the account level by syncing HubSpot company records and associating them with the right Cotonity workflows.

Why sync companies, not just contacts

B2B go-to-market motions are account-based: decisions are made at the company level, not just by individual contacts. Syncing HubSpot company records into Cotonity lets your agents make account-aware decisions — for example, recognizing that an inbound prospect belongs to an existing customer account and routing them to the customer success agent rather than sales. Company data also enriches event registrations with account-level context such as industry, annual revenue, number of employees, and assigned account manager.

Configuring company sync

Company sync is configured separately from contact sync in Settings → HubSpot → Company Sync. Define filters (e.g., sync only companies where the Type is Customer or Partner), choose the sync frequency, and map HubSpot company properties to Cotonity company fields. Core standard properties — Company Name, Domain, Industry, City, Country, Annual Revenue, and Number of Employees — are mapped by default. Custom company properties follow the same mapping process as contact properties described in the custom properties article.

Associating contacts with companies

When Cotonity creates or updates a contact record in HubSpot, it can automatically associate the contact with the matching company using the contact's email domain. Enable Domain-Based Association in the Create Contact action settings. Cotonity looks up the company whose Domain property matches the contact's email domain; if found, it creates the HubSpot association. If no matching company exists, Cotonity can optionally create a new company record from the domain using HubSpot's company enrichment API, which populates firmographic data automatically.

Account-level automation triggers

Cotonity supports company-level triggers in addition to contact-level ones. For example, trigger a workflow when a company's Lifecycle Stage changes to Customer (indicating a closed deal), when the Number of Employees crosses a threshold that qualifies them for enterprise onboarding, or when the Last Activity Date exceeds 90 days, signaling a dormant account. These company-level signals can kick off contact-level outreach — automatically identifying the primary contact and sending a re-engagement message on behalf of the account manager.
