Inviting team members to your workspace

How to send workspace invitations, set initial roles, manage pending invites, and enforce domain-based auto-join for your organization.

Sending an invitation

Only workspace Admins can invite new members. Go to Settings → Team and click "Invite Members". Enter one or more email addresses separated by commas or line breaks. For each address, select the initial role from the dropdown — Viewer, Editor, Developer, or Admin. You can also add an optional personal note to the invitation email. Click "Send Invitations". Cotonity sends each address a unique invite link that expires in 7 days. If a recipient's email address belongs to an SSO domain configured in your organization, they will be prompted to log in via SSO instead of setting a password.

Managing pending invitations

After sending invitations, the Settings → Team page shows a "Pending" section listing all outstanding invites with the invited email, the role assigned, the date sent, and the expiry date. You can resend any invite by clicking the envelope icon next to the entry — this resets the 7-day expiry clock. To cancel an invite before it is accepted, click the trash icon. Canceled invites cannot be reactivated; you must send a new invite if needed. Once a member accepts their invite, they move from the Pending section to the Members section and can immediately start using the workspace.

Domain-based auto-join

If your team uses a shared email domain (for example, @yourcompany.com), you can enable domain-based auto-join from Settings → Organization → Auto-Join. Enter your verified domain and select the default role to assign to auto-joined members. Once enabled, any new user who signs up for Cotonity with a matching email domain and has not already been invited will be automatically added to your workspace with the default role. This is convenient for large teams but should be paired with a restrictive default role (Viewer is recommended) to avoid granting broad access to people who join unexpectedly.

Removing a member

To remove a member, go to Settings → Team, find the member in the list, and click the three-dot menu → "Remove from Workspace". You will be asked to confirm. Removal is immediate: the member loses all access to the workspace and its agents, workflows, and logs. However, any agents, workflows, or API keys they created remain in the workspace and continue to function. Before removing a member, it is good practice to reassign ownership of their agents to another team member to ensure continuity. Removed members can be re-invited at any time.
