Sending HubSpot email sequences from agents

Sequence enrollment vs. single sends

Cotonity supports two approaches to email via HubSpot: enrolling a contact in a pre-built HubSpot sequence for multi-step nurture campaigns, or sending a single transactional email immediately using the HubSpot Transactional Email API. Sequence enrollment is ideal for longer-term engagement — post-event follow-up series, sales cadences, or onboarding drips. Single sends are best for immediate confirmations, receipts, or time-sensitive notifications. Both approaches respect the contact's email subscription status and HubSpot's marketing and transactional email distinctions.

Enrolling contacts in sequences

Use the HubSpot: Enroll in Sequence action and provide the sequence ID (found in the HubSpot Sequences tool URL), the contact's email address, and optionally the sender user ID. Note that HubSpot sequences require a paid Sales Hub seat for the sender. Cotonity validates that the contact is not already enrolled in the same sequence and is not opted out before attempting enrollment. If the contact is already enrolled, the action can be configured to skip silently, re-enroll from step one, or branch to a different path in your Cotonity workflow.

Sending transactional emails

The HubSpot: Send Transactional Email action requires a HubSpot transactional email template ID and the recipient's email address. You can override template personalization tokens using Cotonity variables, allowing you to send a generic template populated with event-specific details — date, location, speaker names — without creating a separate template for each event. Transactional emails bypass marketing email subscription preferences, making them appropriate for booking confirmations, password resets, and receipts, but not for promotional content.

Tracking email engagement

HubSpot tracks opens, clicks, replies, and unsubscribes for all emails sent through its platform, including those triggered by Cotonity. This data is visible on the contact timeline and feeds into HubSpot's email performance reports. Cotonity can also read email engagement events back via the HubSpot: Get Email Events action, allowing your agent to branch based on whether a contact opened a previous email. For example, send a more prominent follow-up to contacts who received but did not open the first invitation email.
