Automatically generate HubSpot tasks for your sales and customer success reps based on agent-detected signals and conversation outcomes.
When to create a task
HubSpot tasks are best used when a human follow-up action is required after an automated workflow step. Common scenarios include: a prospect who asked to be called back at a specific time, a deal that has been stagnant for more than 14 days, a support ticket that escalated beyond the agent's confidence threshold, or a new event registrant who requested additional information not available in the knowledge base. Cotonity can detect all of these conditions through conversation analysis, property comparisons, and date calculations, and create the corresponding task automatically.
Configuring the Create Task action
Add a HubSpot: Create Task block to your workflow. Required fields are Task Subject, Due Date, and the associated Contact or Deal ID. Optionally set Task Type (Call, Email, To-Do), Priority (Low, Medium, High), and the Assigned Owner. Use Cotonity expressions to make subjects descriptive: for example, "Follow up with {{contact.firstName}} re: {{deal.dealName}} — close date {{deal.closeDate|date('MMM d')}}" produces a task title that gives the rep full context at a glance. Task body notes support rich text and can include a link back to the Cotonity conversation transcript.
Assigning tasks to the right owner
Task assignment can be static (always assign to a specific user), dynamic (assign to the contact's HubSpot owner), or rule-based (use Cotonity's routing logic to pick an owner based on territory, availability, or workload). To assign to the contact's owner, fetch the contact record first and read the hubspot_owner_id property. If the contact has no owner, define a fallback owner or a round-robin pool. Cotonity validates that the target owner exists in the HubSpot portal before creating the task; an invalid owner ID causes the action to fail with a descriptive error message.
Tracking task completion
Once a task is created, Cotonity can optionally monitor its status using a HubSpot: Watch Task action that polls for completion. When the task is marked Done in HubSpot, Cotonity resumes the waiting workflow branch, allowing you to trigger a follow-up action — such as sending a summary email to the customer or updating the deal stage. This creates a seamless human-in-the-loop pattern where the AI agent handles routine steps and hands off specific actions to humans, then reclaims control once the human step is complete.
