Connecting Cotonity to your HubSpot account

Step-by-step guide to authorizing Cotonity to access your HubSpot portal through OAuth 2.0 and verifying the connection.

Prerequisites

Before connecting Cotonity to HubSpot, confirm that you have Super Admin or an App Marketplace access role in your HubSpot portal. You will also need an active Cotonity workspace with at least the Starter plan, as HubSpot integration is not available on the free tier. Have your HubSpot portal ID handy — you can find it in the top-right corner of your HubSpot account under Account Settings. If your company uses multiple HubSpot portals, decide which one you want to link first; each Cotonity workspace supports exactly one active HubSpot connection at a time.

Authorizing via OAuth 2.0

Navigate to Cotonity Settings → Integrations → HubSpot and click Connect HubSpot. You will be redirected to HubSpot's OAuth consent screen. Log in with the HubSpot account that has the appropriate permissions, review the list of requested scopes, and click Allow. Cotonity requests only the scopes necessary for the features you have enabled; no unnecessary data is requested. After approval, HubSpot redirects you back to Cotonity, which stores the encrypted refresh token in its secure vault. The token is never exposed in the UI or in log output.

Verifying the connection

Once authorization completes, the integration card shows a green Connected badge alongside your portal name and ID. Click Test Connection to send a lightweight API ping to HubSpot and confirm that credentials are valid. If the test fails, Cotonity displays the specific error code returned by HubSpot — common causes include expired credentials or missing scopes. You can revoke and reconnect at any time without losing workflow configurations; Cotonity preserves all field mappings and automation rules even when the OAuth token is regenerated.

Managing multiple portals

Enterprise teams sometimes operate multiple HubSpot portals — for example, one per region or brand. Cotonity supports this through workspace separation: create a separate Cotonity workspace for each HubSpot portal and invite the relevant team members to each workspace. Cross-portal automations are not supported natively; if you need data to flow between portals, use Cotonity's outbound webhook action to push records from one portal to a receiving workflow in another workspace. Contact support if you need guidance on multi-portal architectures.
