Creating Online vs. In-Person Event Types

Choosing Your Event Format

When creating a new event in Cotonity, the first configuration step asks you to select the event format: In-Person, Online, or Hybrid. This choice affects which fields appear in the event editor and how information is presented on the registration page. In-Person events show address, venue name, and map embed fields. Online events show a virtual platform selector and joining link field. Hybrid events show both sets of fields, and the registration form can ask attendees which format they'll be attending so you can track headcounts for each mode.

Configuring Online Events

For virtual events, select your platform from the dropdown — Cotonity supports Zoom, Google Meet, Microsoft Teams, Webex, and a generic "Custom Link" option. If you connect your Zoom account under Settings > Integrations, Cotonity can automatically create a Zoom meeting for each new online event and populate the joining link without you ever logging into Zoom. The joining link is automatically included in confirmation emails and reminder sequences via merge tag and is hidden from the public registration page to prevent unauthorized attendees.

Configuring In-Person Events

For in-person events, enter the venue name, full street address, and any access instructions (such as building entrance details or parking information). Cotonity embeds a Google Maps preview on the registration page, making it easy for attendees to get directions. You can also specify room capacity separately from ticket capacity — useful if you're hosting in a space that holds more people than you want to register. The venue address is automatically included in calendar invites attached to confirmation emails.

Hybrid Event Logistics

Hybrid events require careful coordination between your in-person and virtual audiences. Cotonity's hybrid mode lets you set separate capacity limits for each attendance mode, so you can accept 50 in-person and 200 virtual registrants independently. Registration confirmation emails are automatically customized based on the attendee's chosen mode: in-person attendees receive venue directions, while virtual attendees receive the joining link. Post-event feedback surveys can include mode-specific questions, such as "How was the audio quality for online viewers?" or "How was the room setup for in-person attendees?"
