Create events that repeat on a schedule — weekly, monthly, or custom — with each occurrence having its own attendee list while sharing a common series template.
When to Use Recurring Events
Recurring events are ideal for regularly scheduled programming: weekly team standups, monthly customer webinars, quarterly board meetings, or annual conferences. Instead of creating a new event each time from scratch, Cotonity generates each instance automatically based on a recurrence rule you define once. Each instance has its own registration page, attendee list, and analytics, but they're all linked under a parent series. Attendees can register for a single occurrence or — if you allow it — for the entire series with a single form submission.
Configuring Recurrence Rules
In the event editor, click "Make This a Recurring Event" to open the recurrence settings. Choose a frequency (daily, weekly, bi-weekly, monthly, or custom), a start date, and an end condition — either a specific end date or a total number of occurrences. For monthly events, you can specify "the third Tuesday of each month" rather than a fixed date, which handles months with varying numbers of days correctly. Cotonity shows you a preview of the first ten occurrence dates so you can verify the schedule looks right before saving.
Managing Individual Occurrences
Although instances in a recurring series share a common template, each one can be edited independently. For example, if one month's occurrence features a guest speaker, you can update the description and cover image for just that instance without affecting the rest of the series. You can also cancel or reschedule a single occurrence — for instance, if it falls on a public holiday — while keeping the rest of the series intact. Changes to the series template (such as updating the default confirmation email) can be pushed to all future instances or applied only to new ones.
Reporting Across a Series
The recurring series dashboard shows aggregate metrics across all instances: total registrations over time, average attendance rate, and trend lines for each occurrence. This makes it easy to identify patterns — perhaps attendance dips every August due to summer holidays — and adjust your promotional strategy accordingly. You can drill down into any individual occurrence for its specific attendee list and feedback data. Series-level reports are exportable as CSV or can be pushed to a connected HubSpot dashboard via the CRM integration.
