Why Automated Post-Event Surveys Work

Timing is everything for post-event feedback. Surveys sent immediately after an event — while the experience is still vivid — consistently achieve higher response rates and more accurate answers than those sent days later. Cotonity's post-event automation triggers a survey email to all checked-in attendees within minutes of your configured event end time. You don't need to remember to send it manually; the platform handles it entirely. This ensures you capture honest impressions before attendees move on to other priorities.

Building Your Feedback Survey

Under the event's "Emails" tab, select "Post-Event Feedback" and click "Configure Survey." Cotonity's survey builder supports star ratings, NPS (Net Promoter Score) questions, multiple-choice, and open-text fields. You can build a survey from scratch or start from one of several templates — such as "Speaker Evaluation," "Venue & Logistics," or "Overall Satisfaction" — and customize from there. Keep surveys short: three to five questions yield much better completion rates than lengthy forms. Use the preview feature to see exactly how the survey will appear on mobile devices.

Segmenting Feedback Recipients

By default, the post-event survey goes to all checked-in attendees. However, you can configure Cotonity to also send it to registered attendees who did not check in — perhaps offering a slightly different message acknowledging that they couldn't make it. You can also exclude specific contacts from feedback emails, for example VIP guests or your own staff who registered to help manage the event. These segments are configurable under the survey's "Recipients" settings and can be saved as templates for future events.

Viewing and Acting on Responses

Survey responses appear in real time in the event's "Feedback" dashboard. Cotonity aggregates quantitative responses into charts and graphs, making it easy to spot trends — for instance, consistently low scores on "venue accessibility" across multiple events. Open-text responses are displayed in a scrollable feed and can be tagged or flagged for follow-up. You can export all responses to CSV for deeper analysis in Excel or BI tools. If HubSpot integration is active, NPS scores and key responses are written back to the corresponding contact records for use in future segmentation.
