Designing a Reminder Sequence

Research consistently shows that multi-touch reminder sequences dramatically reduce no-show rates. Cotonity's reminder workflow builder lets you schedule as many reminder emails as you like, each timed relative to the event date. A typical sequence might include a reminder one week before, another three days before, and a final "today's the day" email on the morning of the event. Navigate to the event's "Emails" tab, click "Add Reminder," and set the send timing and message for each step. The entire sequence activates automatically for all confirmed registrants.

Personalizing Reminder Content

Each reminder email in the sequence can have distinct content tailored to its timing. The one-week reminder might include a full agenda or speaker bios to build anticipation. The three-day reminder could highlight logistics like parking, dress code, or what to bring. The same-day reminder should be short and action-oriented, providing the venue address or virtual joining link front and center. Use Cotonity's merge tags throughout to address each registrant by name and echo back the details specific to their registration, such as the sessions they selected.

Suppressing Reminders for Cancellations

Cotonity automatically excludes cancelled registrations from reminder sequences. If an attendee cancels after receiving the first reminder but before the second is scheduled, the remaining emails in the sequence will not be sent to them. This happens without any manual intervention on your part. You can review the suppression log in the email sequence dashboard to see exactly which contacts were excluded from which emails and why. This prevents awkward situations where cancelling attendees continue to receive reminder emails for an event they're no longer attending.

Testing Your Sequence Before Going Live

Before your first real registrant receives a reminder, it's worth previewing and test-sending your entire sequence. In the "Emails" tab, each reminder has a "Send Test" button that dispatches the email to your own address with sample merge-tag data. Review the email on both desktop and mobile to catch formatting issues. You can also use Cotonity's "Sequence Preview" feature to see all emails in the sequence side by side in a single view, making it easy to check for consistent tone and no repeated content across steps.
