Configure attendee limits for your events and enable automatic waitlist management so Cotonity handles overflow registrations without manual intervention.
Defining Your Event Capacity
Cotonity lets you set a firm maximum number of attendees for any event. Inside the event editor, go to the "Capacity & Availability" section and enter the total number of seats. Once this limit is reached, the registration form automatically closes and displays a "Sold Out" or customizable "At Capacity" message to new visitors. You can adjust the capacity limit at any time before the event — useful if you secure a larger venue or add additional virtual spots. Setting a capacity creates a sense of urgency that often increases early registrations.
Enabling the Waitlist
When capacity is enabled, you can also activate the automatic waitlist feature. Toggle it on in the same "Capacity & Availability" section. Once the event is full, new registrants will see a waitlist option and can sign up to be notified if a spot opens. Cotonity stores waitlisted contacts in order of sign-up and automatically moves them to confirmed status when existing registrants cancel. You can view the full waitlist at any time and manually promote waitlisted contacts if needed.
Automating Waitlist Notifications
When a spot opens up, Cotonity immediately sends the next person on the waitlist a customizable email offering them the available seat. You can configure how long they have to claim the spot — for example, 24 or 48 hours — before it moves to the next person in line. This keeps your event full without requiring manual intervention. All waitlist movement is logged in the event's Activity feed, so you always have a clear record of who was offered a spot and whether they accepted.
